Privacy Policy

1. Scope

This policy applies to personal information processed by Gen Academy through the public site, authenticated platform, educator workspace, Live Lab registration and access flows, protected recordings, support, and essential email communications. It does not govern independent third-party services or websites that publish their own privacy policies.

2. Information we collect

Information you provide

  • Account information: name, email address, authentication method, and credentials handled by the applicable identity provider.
  • Google Sign-In information: when you choose Google authentication, we receive the Google account identifier and basic profile information needed to identify you, such as your name and email address. We do not receive your Google password.
  • Learner profile information: LinkedIn profile URL and optional current role, company or organization, and city.
  • Educator information: biography, headline, profile and social links, photographs, teaching assignments, and materials submitted for Live Labs.
  • Support information: messages, attachments, and other information you choose to provide when contacting us.

Information created through the service

  • Live Lab registrations, registration time, access type, session and recording eligibility, and related account activity.
  • Essential communication status for confirmations, reminders, schedule changes, cancellations, and recording availability.
  • Security and session records used to authenticate requests and enforce account protections.

Information collected automatically

  • Browser, device, IP-address, request, diagnostic, and security information ordinarily generated when the service is used.
  • Pages viewed and approved interaction events collected through Google Analytics when analytics is enabled under the applicable cookie setting.
  • Limited first-touch campaign parameters such as approved UTM values when present.

3. Sources and purposes

We collect information directly from you, from your use of Gen Academy, from educators or administrators performing authorized platform actions, and from service providers such as Google identity services and Zoom.

We use personal information to:

  • create, authenticate, secure, restore, and support accounts;
  • complete learner onboarding and maintain educator profiles;
  • publish Live Labs, process registrations, and enforce live or recording eligibility;
  • create individualized Zoom registration and protected access where applicable;
  • operate recording ingestion and secure playback;
  • send essential account and Live Lab communications;
  • prevent abuse, investigate security events, enforce our Terms, and comply with law;
  • measure approved acquisition and learner-journey events and improve the service; and
  • respond to support, privacy, copyright, and other requests.

4. Cookies and analytics

Gen Academy uses necessary cookies or similar browser storage for authentication, session security, and requested functionality. These are required to provide protected account features.

A first-party attribution cookie may retain a limited allowlist of campaign parameters for up to 30 days so we can understand how a newly created account first discovered Gen Academy. The analytics-consent preference may be retained for up to six months.

Where analytics consent is required, Google Analytics does not load until you select “Accept cookies.” You may decline without losing core product access and may reopen Cookie preferences from the public footer or account menu. Withdrawing consent stops future optional analytics collection from that browser and removes known Google Analytics cookies visible to our application origin.

When deployment configuration does not require a consent prompt, analytics may load without that preference cookie, subject to applicable law. Gen Academy does not currently use advertising cookies, cross-context behavioral advertising, or a pre-consent analytics queue.

5. Live Lab participation and recordings

Live Labs may be hosted through Zoom and recorded for registered learners. Gen Academy’s intended recording composition includes educators and shared screens. Learner audio, video, and chat are not intentionally included in the published recording.

Zoom may independently process participant identity, account, device, meeting, or diagnostic information under its own privacy policy. Learners should keep cameras and microphones off unless invited to contribute and should avoid sharing information they do not want captured. Contact support if you believe you were included accidentally.

Published recordings are processed and delivered through Mux using protected playback. Access is checked against the learner’s authenticated account and completed registration; permanent public playback links are not provided.

6. How we disclose information

Service providers

We disclose information to vendors that process it on our behalf to provide the service, including Google/Firebase/GCP for identity, hosting, databases, storage, and infrastructure; Zoom for live sessions and registration; Mux for video processing and protected playback; ZeptoMail for essential email submission; and Google Analytics for approved measurement.

Google user data

Google Sign-In data is used only to authenticate you, create or restore your Gen Academy account, maintain account security, and provide requested platform features. We do not use Google user data for advertising, sell it, or allow humans to read it except when required for security, support requested by you, legal compliance, or service operations. Access, use, disclosure, retention, and deletion of Google user data follow this policy and applicable Google API Services requirements.

Educators and authorized personnel

Educators and authorized Gen Academy personnel may access information reasonably needed to operate Live Labs, manage registrations, support users, protect the service, and perform their assigned responsibilities. Public educator profiles and published Live Lab content are visible to visitors.

Legal, safety, and business events

We may preserve or disclose information when reasonably necessary to comply with law or legal process, enforce agreements, investigate fraud or security incidents, or protect users, Gen Academy, and others. Information may also transfer as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to applicable law and appropriate notice.

Gen Academy does not currently sell personal information, share it for cross-context behavioral advertising, or use it for targeted advertising.

8. International processing

Gen Academy accepts users worldwide. Personal information may be processed in the United States, India, and other countries where Gen Academy or its providers operate. Those countries may have privacy laws different from your own.

Where required, we rely on recognized safeguards for international transfers, such as adequacy decisions, contractual protections, or another lawful transfer mechanism. You may contact us for information about safeguards applicable to your information.

9. Retention

We retain personal information for only as long as reasonably necessary for the purposes described in this policy, including providing accounts and Live Labs, maintaining registration and access records, resolving disputes, enforcing agreements, supporting security and fraud prevention, and meeting legal obligations.

Application sessions have a fixed seven-day maximum lifetime. The first-touch campaign cookie is configured for 30 days, and the analytics-consent preference for six months. Other periods depend on the information and operational need. Registrations and protected-access records may remain while needed to preserve a learner’s recording entitlement. Backup copies may remain for a limited period after active deletion.

When information is no longer required, we take reasonable steps to delete, anonymize, or otherwise dispose of it, subject to technical and legal limitations.

10. Security

We use administrative, technical, and organizational safeguards designed to protect personal information. Measures include provider-managed authentication, server-side authorization, private storage, protected recording playback, credential redaction, and restricted service access.

No method of transmission or storage is completely secure. We cannot guarantee absolute security, and users remain responsible for protecting their credentials and devices.

11. Your choices and privacy rights

Depending on where you live, you may have rights to request access, correction, deletion, restriction, objection, portability, or withdrawal of consent; to opt out of certain disclosures; and to appeal a denied request or complain to a privacy authority.

Gen Academy does not currently provide self-service account deletion. Requests may be sent to support. We may verify your identity, ask an authorized agent to provide appropriate authority, and retain information where an exception or legal obligation applies. We will not discriminate against users for exercising applicable privacy rights.

You can control optional analytics through Cookie preferences where that control is available. Essential account and Live Lab messages cannot be opted out of while the related account or registration remains active because they communicate service operations rather than promotions.

12. Children’s privacy

Gen Academy is intended for users aged 13 and older and does not knowingly collect personal information from children under 13. Users below the age of legal majority where they live should use the service only with parent or guardian permission.

If you believe a child under 13 provided personal information, contact us so we can investigate and take appropriate action.

13. Third-party services and links

Our service may link to or integrate with services we do not control. This policy does not cover a third party’s independent processing. Review the applicable provider’s privacy policy before using its service or submitting information.

14. Changes to this policy

We may update this policy to reflect changes in the service, providers, law, or our practices. The page will display the effective and last-updated dates. When appropriate, we will provide additional notice before a material change takes effect.
